How can I save money on my sons 1st b-day party?

Ideas and money saving tips for renting a hall or club or party space?

I belong to a group of parents that get together annually to go camping with their kids. We would like to rent a party space so the adults can get together without the kids and party as well as plan next summer’s camping event.

Clubs, community halls, banquet facilities and so on are the choices available in my city. We can probably get at least 100 people to commit so now we need to find a suitable venue to rent for this event. Since we have to pay up front and hope everyone shows up and pays the admission fee, we need help on the best money saving techniques to rent a party place.
